How to register on SA Tenders and Contracts and find South Australian Government tenders

South Australian Government tenders are published on SA Tenders and Contracts (tenders.sa.gov.au), together with tenders from the councils that use the same portal. Registering as a supplier is free, takes a few minutes, and is what lets you download tender documents, receive email alerts from saved searches and lodge a response. Helm lists the open tenders with the portal's permission and links each one to its page there.

What SA Tenders and Contracts is

SA Tenders and Contracts is the South Australian Government's tender portal. State agencies publish their open tenders there, and a number of South Australian councils publish on the same portal, so one registration covers both. Each tender carries a code, a title, the issuing body, one or more categories, and a closing date and time in Adelaide time.

The portal is run for the Government of South Australia by Procurement SA. Helm is an independent platform; nothing on Helm replaces the portal, and every South Australian tender Helm shows links back to it.

Why registering is worth ten minutes

Browsing tells you a tender exists. Registration is what turns that into a bid: tender documents are downloaded by registered suppliers, addenda and clarifications reach the suppliers who downloaded the documents, and responses are lodged through the registered account. A registration is free; the portal presents its terms and conditions when you sign up, and they are the standard supplier terms for lodging responses.

Register before you need to, not in the week a tender closes. A registration made in a hurry, with a generic inbox nobody watches, is how an addendum gets missed.

  • Use a monitored inbox for the account: alerts and addenda go there.
  • Record the ABN, trading name and contact details exactly as they appear on your other registrations, so a buyer can match them.
  • Keep the login somewhere the whole bid team can find it.

Alerts: saved search profiles

Once registered you can save search profiles, each with its own email notification toggle. A profile is a set of categories (the portal uses UNSPSC category groups) and, where useful, keywords. Set up one profile per line of work rather than one broad profile: a narrow profile that fires ten times a year is read; a broad one that fires daily is filtered into a folder and forgotten.

Reading a listing

A listing shows the tender code (the code's prefix usually tells you the issuing agency), the title, the issuing body, the category or categories with a percentage weighting when the tender spans more than one, and the closing date and time. The closing time is Adelaide time; if you bid from another state, convert it, because a late lodgement is not accepted.

The documents, the questions-and-answers and the lodgement live behind the registration. Inside a Helm account a South Australian tender carries the listing details and the link; Helm does not hold the documents.

How Helm fits

Inside a Helm account the open South Australian tenders appear as the portal lists them, refreshed from the portal's own export, and each one is scored against your capability statement with the reasoning itemised, so the alerts you act on are the ones that fit. The registration on the portal stays yours, and so does the lodgement.
