The same tender published on more than one portal appears once, with its other listings noted on the record, and every record shows where it came from and when it was indexed.

We're honest about the edges: the coverage page inside Helm states which portals are live, which are awaiting permission, and which have declined automated access, so you always know what you're looking at. Anything Helm doesn't index, you can bring yourself: a private tender pasted into Helm gets the full workspace. Helm is an independent platform; we are not affiliated with or endorsed by any government portal, and portal names belong to their owners.

Yes, you can, and honestly, a general AI chatbot will give you a decent-sounding draft. We'd never pretend otherwise; the writing engines are excellent, and Helm uses the same class of AI under the hood. The difference isn't the AI. It's everything wrapped around it. Here's what actually changes when you move from pasting a tender into a chat window to working inside Helm.

1. A chatbot only sees what you paste. Helm watches the whole market.

Helm continuously ingests live opportunities from AusTender, GrantConnect, QTenders, VendorPanel councils, BuyICT, QBuild, NT Tenders Online and more, refreshed hourly and daily. A chatbot can't tell you a tender exists, that its closing date just moved, that a buyer you track released something new, or that a similar opportunity is cross-listed on another portal. Helm does all of that before you've had your morning coffee. You can't paste in what you don't know about.

2. A chatbot answers one question. Helm scores your fit against everything.

Every opportunity in Helm gets an itemised match score against your company profile: industry, region, capability, with a full score anatomy showing exactly why, and what would lift it. That means you spend your writing hours on the tenders you can actually win, instead of producing beautiful responses to tenders you were never in the running for. A chatbot will cheerfully help you write a doomed bid; it has no idea whether you were ever in the running.

3. Chatbots guess. Helm cites or refuses.

This is the big one for anything you'll submit under your company name. Ask a general chatbot about your tender pack and it will answer fluently, whether or not the answer is actually in the documents; that's how hallucinations end up in submissions. Helm's “Ask the pack” is built to answer only from your uploaded documents, and to say so when the answer isn't there. Our drafting pipeline runs through hallucination audits as a release gate. In a compliance-driven document, a confident wrong answer isn't a small bug, it's a disqualification.

4. Rich context in a chat is retyped every time. Helm's context compounds.

Yes, you can paste your company blurb into every chat, and people do. Helm instead maintains a living Company Profile and Evidence Library: your past projects, credentials and case studies, reusable across every bid, with per-tender capability statements built from them. Your tenth bid in Helm is dramatically faster than your first, because the system remembers. Your tenth chat session starts from zero, again.

5. Helm knows things a chatbot structurally cannot know.

Who a buyer has actually awarded contracts to, and at what values. Panel arrangements and who's on them. Planned procurements before they're published as tenders. For grants: entity checks against the ABR and ACNC registers, and real program award histories with official attribution. None of this lives in a chatbot's training data in usable, current, per-buyer form. It's the difference between writing well and bidding intelligently.

6. The process around the words.

A tender isn't just prose. 7. Where your documents go.

Tender packs often contain confidential and commercially sensitive material. In Helm, your documents sit in private, tenant-isolated storage under our security controls, and are used only to serve you. We're an Australian platform built for this data. Where your pasted content goes in a consumer chatbot, and what it may be used for, depends on which product and plan you're on, and it's your job to check.

Every opportunity gets a score against your company profile, and every score is itemised: the score anatomy shows each point it is built from, industry fit, region, capability match, and what would lift it. Nothing hidden, nothing invented. If the score is low, you can see exactly why, and whether it is worth fixing.

One thing the score deliberately is not: a win prediction. Helm scores how well an opportunity fits you and how ready you are to respond. Whether you win is decided by the buyer's evaluation panel, and we won't pretend otherwise.

Yes, and not as an afterthought. Helm Grants is a dedicated face of the platform: federal grant rounds from GrantConnect and Queensland programs from the Grants Finder, matched against your profile the same way tenders are.

The tooling is grant-specific, because a grant application is not a tender response: assessors fund outcomes for a community, evaluators buy delivery of a specification. Helm builds the eligibility check from the round's own uploaded guidelines and checks your entity details against public ABR and ACNC register data. Helm never asserts you are eligible: it shows you the guidelines' own rules, with their wording, and you confirm each one yourself.

No, and this is a design rule, not a hope. Helm drafts only from the facts recorded in your company profile and your uploaded documents. Anything the AI cannot verify from those sources becomes a highlighted [CONFIRM] marker in the draft and the exported document - deliberately loud, so an unverified claim cannot slip into a submission unnoticed.

A thin profile produces an honest thin draft that tells you what evidence is missing, not a fictional strong one. Our drafting pipeline runs hallucination audits as a release gate: a draft that fabricates experience on a thin profile fails the release. And every draft remains exactly that, a draft: you review and own what you submit.

Your data is stored in Australia, in private, tenant-isolated storage, and is used only to serve you. A tender you bring privately is private by construction: it lives separately from the shared index, and other companies' matching, shared counts and public pages structurally cannot see it.

Uploaded tender pack documents follow a 90-day retention rule after the tender closes; your own records, drafts and pipeline history stay yours. Team seats see your company's shared workspace; nobody outside your company sees any of it.

For a large share of government buying, yes: agencies buy through standing offers and panels, and if you are not on the arrangement you cannot bid on the work that flows through it. The frustrating part is that panels refresh on their own schedule, and most suppliers only hear about a refresh after it closes.

Helm's Panel radar reads AusTender's public standing offer notices daily and lists current arrangements with the expiry dates the source itself publishes. Watch an expiry and you position months ahead instead of finding out from the award notice. Open-market tenders remain the other big share of the market, and that is what the main feed covers.
